Checking in a Document

Only one primary file and one secondary file (if applicable) can be checked into a single Document record. The files that must be checked in are dependent on which secondary format is displayed in the Content section of the Document record.

NOTE: If the document being checked in will be part of a document collaboration review using Office Online, track changes must be enabled when the document is checked in. After the review, this enables the document owner to see what changes have been made and by whom those changes were made.

  1. From the SmartSolve Portal Page, click the Document Repository link at the top of the window.
    Result: The document list is displayed.
  2. Select the Document No. of the Document record in which to check in the document.
    Result: The Document record is displayed.
  3. Click the CheckIn button.
  4. Browse to the document to check in.
  5. Click the Save button.
    Result: The file is now checked in and, in the Content section of the Document record, the Content Status is CheckedIn.

NOTE: Once the document is checked in, the CheckIn button becomes a Check Out button.
